  • 2. Why do we process candidate data? We may process personal data relating to job applicants and prospective candidates for the following purposes: to assess an application and communicate with the candidate; to take steps prior to entering into an employment or contractor relationship at the candidate’s request; to verify the candidate’s qualifications, experience, work history, and suitability for a role; to manage interviews, evaluation, selection, and recruitment administration; to comply with legal obligations applicable to recruitment, employment, anti-discrimination, tax, accounting, or recordkeeping; to protect our legitimate interests in maintaining a fair, documented, and secure recruitment process; with the candidate’s consent, to retain application materials for future vacancies.
  • 3. What categories of data may we process? Depending on the situation, we may process: identification and contact data; CV, résumé, portfolio, cover letter, and work history details; education, qualifications, certifications, and skills; interview notes and evaluation records; salary expectations, availability, work authorization, language skills, and location preferences; correspondence with the candidate; publicly available professional profile information relevant to the role; where legally permitted and relevant, reference information; any other information the candidate voluntarily provides. Please do not include unnecessary sensitive personal data in your application materials, such as health data, biometric data, political opinions, religious beliefs, trade union membership, sexual orientation, or similar special-category data, unless this is strictly necessary and legally justified.
  • 4. Legal bases for processing We may rely on one or more of the following legal bases, depending on the circumstances: pre-contractual measures — processing necessary to take steps at the candidate’s request prior to entering into a contract; legal obligation — processing necessary to comply with applicable legal duties; legitimate interests — processing necessary for a documented and efficient recruitment process, internal administration, prevention of abuse, protection of legal claims, and IT/security management; consent — where we ask for permission to retain the candidate’s profile for future opportunities or in another situation where consent is the appropriate legal basis.
  • 5. Is providing data mandatory? Usually, providing candidate data is voluntary. However, if a candidate does not provide data necessary for us to evaluate an application or proceed in a recruitment process, we may be unable to consider the application or continue the process.
  • 6. Where do we get the data from? We typically obtain candidate data directly from the candidate. We may also receive relevant data from: professional networking platforms; recruiters or recruitment agencies; employee referrals; publicly available professional sources; referees, where appropriate and legally permitted.
  • 7. Who may receive the data? Candidate data may be shared on a need-to-know basis with: authorized Forest Digital personnel involved in recruitment or business decision-making; HR, legal, finance, or administrative support where relevant; IT and hosting providers; recruitment agencies or assessment providers, where used; professional advisors; public authorities where disclosure is required by law.
  • 8. International transfers If personal data is transferred outside the European Economic Area, we will do so only where an adequate level of protection is ensured under applicable law, for example through an adequacy decision or appropriate safeguards such as standard contractual clauses.
  • 9. Retention period If we are not currently hiring or if an application is unsuccessful, we will retain candidate data only for as long as necessary for the relevant recruitment purpose, legal compliance, and protection of our rights. If we wish to retain a candidate profile for future opportunities beyond the immediate recruitment process, we should do so only where there is a valid legal basis, typically consent where required. A practical retention approach for website use is: active recruitment file: during the recruitment process; rejected/closed applications: up to 6 months after the process ends, unless a longer period is required or justified by law or legal claims; future talent pool based on consent: up to 24 months from consent, unless withdrawn earlier. These periods should be reviewed against local legal requirements and actual HR practice before publication.
  • 10. Candidate rights Subject to applicable law, candidates may request: access to their personal data; rectification of inaccurate or incomplete data; erasure of data; restriction of processing; objection to processing based on legitimate interests; data portability, where applicable; withdrawal of consent at any time where processing is based on consent. Candidates also have the right to lodge a complaint with the competent supervisory authority.
  • 11. Automated decision-making Unless explicitly stated otherwise for a specific recruitment process, Forest Digital does not intend to make decisions based solely on automated processing that produce legal effects or similarly significant effects on candidates.

  • Recruitment Fraud Alert Forest Digital is aware that fraudsters sometimes impersonate companies, recruiters, or hiring managers. Important warning signs Forest Digital: does not promise jobs in exchange for money; does not ask candidates to pay recruitment fees, visa fees, onboarding fees, equipment deposits, or training fees as a condition of employment; does not ask candidates to share highly sensitive personal data before there is a legitimate reason to do so; does not send offers from unofficial domains pretending to be Forest Digital.
  • Protect yourself Please be cautious if someone: contacts you from a suspicious email domain or messaging account; pressures you to act urgently; requests payment or banking details unusually early; asks for identity documents without a credible reason; makes an offer without a proper interview or assessment process.
